Effective date

What this notice covers

This notice applies to information received through the Therazon website and during initial inquiries. If you become a client, the informed-consent and privacy documents reviewed with you provide additional clinical details.

Information that may be collected

  • Contact information you provide, such as your name, email address, telephone number, language, and preferred contact method.
  • The brief information you choose to share when requesting a consultation.
  • Scheduling, billing, consent, and clinical-record information if you become a client.
  • Basic server and security information, such as an IP address, browser type, access time, and pages requested, when needed to operate and protect the website.

How information is used

  • To respond to inquiries, arrange consultations, and consider whether a requested service is within scope.
  • To provide and administer psychotherapy, including scheduling, payment, receipts, documentation, and required communication.
  • To protect clients, the practice, and the website and to meet ethical, insurance, accounting, and legal obligations.

Owl Practice and secure communication

Owl Practice is Therazon’s primary system for online booking, client forms, secure messaging, video sessions, billing, and practice records. Current clients should use Owl Practice secure messaging for confidential clinical communication. Owl Practice’s own privacy and service terms also apply when you use its platform.

Email, telephone, and first contact

Ordinary email, text messages, and voicemail are not fully secure clinical channels and are used for brief administrative communication. Do not include detailed health information, urgent concerns, or information you would not want transmitted through an ordinary channel. Therazon does not monitor these channels continuously.

Service providers and disclosure

Therazon may use selected providers for website hosting, secure practice management, video sessions, scheduling, payment processing, bookkeeping, and professional consultation. Only information reasonably needed for the service is shared. Personal information is not sold or rented.

Information may also be disclosed with your consent or when permitted or required by law, including serious safety concerns, protection of a child or dependent adult, a court order, or a professional or legal process. The specific limits of confidentiality are reviewed during informed consent.

Safeguards and retention

Reasonable administrative, technical, and physical safeguards are used to protect personal information, although no internet service can guarantee absolute security.

Clinical records for adult clients are generally retained for at least seven years after the last service and longer when law, insurance, a legal process, or applicable professional standards require it. Other information is kept only as long as reasonably needed and is then securely destroyed or anonymized.

Access, correction, and privacy questions

Subject to applicable limits, you may ask whether Therazon holds personal information about you, request access, or ask that inaccurate information be corrected. Email info@therazon.ca. Identity may need to be verified before information is released.

Website choices and updates

This website does not use advertising cookies or sell visitor data. Essential hosting and security technologies may still be used. This notice may be updated when services, tools, or legal requirements change; the current version and date will remain posted here.
